Choose n8n when the workflow belongs to your technical team

n8n fits well when a capable technical team wants direct control over workflow logic, code steps, APIs and deployment choices. Self-hosting can matter where the company is ready to operate the service, patch it, monitor it and protect its credentials.

The phrase “ready to operate” carries weight. It includes queue behavior, persistence, upgrades, backups, execution retention and failed-workflow ownership. For a team that already has those disciplines, control is valuable. For a team without them, self-hosting can transfer more work than expected.

Choose Zapier when broad SaaS automation and fast adoption matter

Zapier fits teams that want to connect common business applications quickly. Its app coverage, familiar trigger-and-action model and growing enterprise administration features can reduce the distance from a small operational problem to a working automation.

That speed is useful. The review should still cover task consumption, shared connection ownership, app policies, human review and what happens when an app changes its API behavior. Fast creation and production ownership are related, but they are not the same job.

Choose Make when visual data flow is part of the work

Make fits work where seeing routes, mappings, filters and error handlers helps the builder reason about the scenario. The visual model can be especially useful when records split into several branches or require substantial transformation between systems.

Complexity remains complexity even when it is visible. Someone must decide how partial failure is recovered, how credits grow with bundles and modules, and how changes are reviewed. The canvas helps express those decisions. It does not make them disappear.
